OpenOffice.org Calc

OpenOffice.org Calc

Calc is OpenOffice.org's answer to Microsoft Excel. Calc can perform many of the same calculations, charts and other tasks as Excel without the price tag. Calc is part of the OpenOffice.org productivity suite that is free to download and use. In addition to Calc, the OpenOffice.org suite includes word processing and presentation applications.

Similarities Between Calc & Excel

The Calc Window has the same look and feel of Excel. The menu and toolbars perform the same in both programs. For example, to save a file choose File - Save from the menu or click the Save button on the toolbar or if a keyboard shortcut is preferred, Ctrl + S will still save the document.

Just as in Excel, cell contents can be added by simply clicking the cell and typing. Editing cell contents is also the same. Double-click the cell to type the new entry or click inside the formula bar to change.

The Differences Between Calc & Excel

One task that Calc offers is the ability to export a file as a PDF. This is standard with OpenOffice.org while with Microsoft Office it is an add-on.

Deleting cell contents works a bit differently in Calc. Pressing the Delete key in a selected cell will pull up the Delete dialog box where choices can be made beyond cell contents. Choices in the dialog include deletion of Strings, Numbers, Date & Time, Formulas, Notes (same as comments in Excel), Formats and Objects. To delete without ever seeing this dialog, click the Backspace key instead of Delete.

While in Calc, another (or new) document can be opened from other applications. For example, when in Calc not only can a new spreadsheet be opened, but also any other type of OpenOffice.org document. This can be done under the New option from the menu bar or standard toolbar.

Calc can perform many of the same calculations as Excel. The main difference between functions is the separator between the values. Calc will always use semicolons while Excel will use commas. If a comma is used instead of the semicolon in Calc, an error will appear (#NAME?). The vocabulary is a bit different as well. The function values called arguments in Excel are instead called parameters in Calc.

What is called Pivot Table in Excel is called DataPilot in Calc, another vocabulary difference. Though the names are differnt the performance is the same with a few limitations. A maximum of eight fields in the data row or column areas can be used. And the ability to write macros is incomplete.

Calc has the ability to create charts just as in Excel will some differences. Some of the chart types that are available in Excel are not offered in Calc. Also, charts update slower in Calc than Excel.

Even with some differences OpenOffice.org's productivity suite of applications is worth checking out considering that it is free of charge and can be used for personal and home needs.
